This Privacy Policy describes how Flex Charges (“the App”, “we”, “our”) collect, uses, and processes information when merchants install and use the App on their Shopify store.

1. Overview

The App is a public Shopify app designed for merchants to create and manage additional fees at cart/checkout, including fixed fees, percentage-based fees, and conditional fees. The App operates entirely within Shopify’s platform and APIs.

2. Information We Process

2.1 Store and Merchant Information

We store and process limited merchant and store-related information required to operate the App, including:

• Store domain (shop identifier)
• Store subscription tier (for example, to determine Shopify Plus eligibility and feature availability)
• App installation and subscription status
• Billing and subscription identifiers related to the App
• Store owner name
• Store owner contact email address

This information is used only to:

• Enable or restrict features based on Shopify plan eligibility
• Manage app subscriptions and billing
• Provide merchant support when required

We do not use merchant information for marketing or advertising purposes.

2.2 Order and Checkout Information

To provide fee calculation and refund reconciliation functionality, the App processes:

• Order details
• Line items and pricing
• Product, variant, and collection identifiers
• Refund events

2.3 Customer Information

Order and checkout data provided by Shopify may include customer-related information.

The App transiently processes the following customer data only for fee calculation purposes:

• Customer name
• Shipping address (used for location-based fee rules)

The App:

• Does not store customer personal data
• Does not use customer email addresses
• Does not use phone numbers
• Does not use billing addresses
• Does not profile or market to customers

3. How We Use Information

We use information strictly to:

• Calculate and apply fixed or percentage-based fees
• Apply fees based on products, variants, collections, and location
• Support advanced conditional fee logic (Shopify Plus only)
• Display and apply fees at checkout using Shopify Functions
• Reconcile and process fee refunds when applicable
• Manage app subscriptions and billing

We do not use data for:

• Marketing or advertising
• Analytics unrelated to app functionality
• Customer communication
• Personalization outside of merchant-defined fee rules

4. Shopify Plus Features

For Shopify Plus merchants, the App may additionally:

• Use Checkout UI Extensions
• Evaluate product or variant metafields for conditional fee logic

These features operate entirely within Shopify’s checkout environment.

5. Data Storage and Retention

Customer personal data is not stored by the App.

Data received via Shopify APIs or webhooks is processed temporarily and discarded after use.

Only non-personal operational data (such as fee configurations, plan selections, and subscription records) are stored as required for App functionality.

Data is retained only for as long as necessary to provide the service.

6. Data Sharing

We do not sell, rent, or share personal data.

We do not share customer personal data with third parties.

All data processing occurs using:

• Shopify APIs
• Shopify billing infrastructure
• Our secure backend systems

No external analytics, marketing, or advertising services are used.

7. Security

We take reasonable measures to protect information, including:

• Encrypted communication (HTTPS)
• Secure infrastructure with access controls
• Encryption at rest and in backups provided by our hosting providers
• Separation of development and production environments
• Limiting staff access to only what is necessary

8. Customer Consent and Privacy Rights

The App operates within the permissions granted by merchants through Shopify. Customer consent decisions managed by Shopify are respected.

Because the App does not store customer personal data, customer access, correction, or deletion requests should be handled through Shopify.

9. Merchant Responsibilities

Merchants are responsible for:

• Informing customers about any additional fees applied through the App
• Ensuring compliance with applicable pricing, tax, and disclosure laws
